Terms and Conditions

TERMS AND CONDITIONS

The rules that help keep your journey smooth and fair

When you book a journey or travel experience through Ethical Norway, you enter into an agreement with Ethical Travel Portal AS (registered in Norway).

These Booking Terms & Conditions outline how we handle reservations, payments, cancellations, responsibilities, and traveler rights.

Please read them carefully before confirming your booking.

1. Who We Are

Ethical Norway is an inbound initiative by Ethical Travel Portal AS, focused on creating responsible, transparent, and locally curated journeys in Norway.

When you confirm a booking, your contract is with Ethical Travel Portal AS (organization number available upon request).

We may work with trusted local partners, guides, and accommodation providers who share our responsible travel standards.

2. Your Booking

A booking is confirmed once we receive your completed registration details and the required deposit or full payment, as specified in your itinerary proposal.

By confirming your booking, you agree to these Terms & Conditions and represent that all details provided are accurate.

3. Payments

  • Deposit: A deposit (typically 20–30%) is required to secure your booking. The exact amount and due date will be specified in your proposal or invoice.
  • Final Payment: The remaining balance is usually due no later than 45 days before departure.
  • Late Bookings: If you book within 45 days of travel, full payment is required at the time of booking.

Payments can be made via bank transfer, Flywire, or other secure methods communicated by our team.

4. Pricing

All prices are quoted in Norwegian Kroner (NOK) unless stated otherwise.

They include taxes, accommodation, and activities as listed in the confirmed itinerary.

We reserve the right to adjust prices in the event of significant changes in fuel costs, exchange rates, or taxes — but such changes are rare and always communicated transparently.

5. Cancellations by You

If you need to cancel your trip, please notify us in writing as soon as possible.

Cancellation charges apply as follows (unless otherwise stated in your trip offer):

  • More than 45 days before departure: Deposit only
  • 30–44 days before departure: 50% of total trip cost
  • Less than 30 days before departure: 100% of total trip cost

We strongly recommend purchasing travel insurance that covers cancellations, medical emergencies, and trip interruptions.

6. Cancellations or Changes by Us

We may need to adjust or cancel a trip in rare cases such as weather conditions, force majeure (natural disasters, strikes, pandemics, political unrest), or minimum group size not being met.

If cancellation occurs before departure, you will be offered:

  • a full refund, or
  • an alternative trip of similar value.

We will always communicate transparently and seek solutions that prioritize your safety and satisfaction.

7. Your Responsibilities as a Traveler

By booking with Ethical Norway, you agree to:

  • Travel responsibly and respectfully with regard to local culture, environment, and communities.
  • Follow safety instructions given by guides or operators.
  • Ensure you have valid travel insurance, identification, and required documents.
  • Inform us of any health conditions or dietary needs that could affect your participation.

8. Our Responsibilities

We are committed to delivering experiences that are safe, high-quality, and ethically operated.

Ethical Norway and its partners take all reasonable steps to ensure your trip runs as planned.

However, we cannot be held responsible for events beyond our control such as flight delays, weather disruptions, or third-party service issues.

9. Travel Insurance

Comprehensive travel insurance is mandatory for all travelers joining Ethical Norway experiences.

Your policy should include coverage for medical care, evacuation, cancellation, and personal belongings.

10. Health, Safety & Accessibility

We design itineraries suitable for most travelers but ask you to review fitness requirements before booking.

Please inform us early of any mobility or accessibility needs — we’ll do our best to accommodate them.

11. Force Majeure

Ethical Norway cannot accept liability or pay compensation for situations beyond our control — including but not limited to natural disasters, epidemics, war, or government restrictions.

In such events, we will work with you and our partners to find fair solutions wherever possible.

12. Complaints and Feedback

If you experience an issue during your trip, please raise it immediately with your guide or local contact so it can be resolved on the spot.

After your trip, you are welcome to share your feedback through our online form.

We value transparency and continuous improvement.

13. Governing Law

These Terms & Conditions are governed by Norwegian law, and any disputes will fall under the jurisdiction of Norwegian courts.

14. Updates to These Terms

We may update these Terms occasionally to reflect changes in regulations or operations.

The latest version will always be available on this page.
